Terms and Conditions

 

Enrolment

 

  1. The Heart of England Language School will confirm bookings in writing on receipt of an enrolment form. Places on courses will not be held unless a deposit is paid.
  2. The Heart of England Language School will invoice for the whole fee when a course is confirmed and full course fees must be paid in ￡ sterling 20 days before course commencement. If full payment has not been received students will not be able to attend classes, remain at host family or other accommodation or attend excursions and their welfare will not be the responsibility of The Heart of England Language School.
  3. Payment can be made by cash or bank transfer.

Welfare

 

  1. Course participants are responsible for their own travel arrangements to and from Leamington Spa unless part of a study programme.
  2. HOE LS cannot be held liable for damage, injury or accident to students’ persons or property.
  3. Students must be in good physical and mental health when starting the course and HOE LS reserves the right to require a student to leave any course at their own expense if they fail to declare any material matters relating to their health on their enrolment form. If we are not informed of a medical condition that affects a student’s ability to participate normally in the course they are attending, we reserve to right to make a charge for additional support.
  4. Students will receive an introductory briefing relating to general welfare including instructions on travelling to and from school, school time, how to behave on excursions and with their hosts families. If students do not abide by these instructions we reserve the right to require a student to leave the course and accommodation at their own expense.

Services

 

  1. Course participants are responsible for their own personal, travel and baggage insurance.
  2. Horse riding, tennis and golf tuition take place away from the school; if they are cancelled due to the weather, students are invited to take English tuition instead. Refunds will not automatically be made. Educational visits and excursions may be changed in the event of bad weather or other circumstances beyond our control.
  3. Cancellations of one to one and long running adult courses can be accepted with 24 hours’ notice. If not received students are liable for the full tuition fees.
  4. In the event of circumstances beyond our control, we may change the services offered, including details of locations, courses, facilities and dates of programmes.
  5. Lessons are held at our school buildings or at alternative premises nearby. There may be occasional closed groups of juniors at some of our schools.
  6. HOE LS takes all reasonable steps to deliver the services the client has booked. However, if due to circumstances beyond our control this is not possible, we reserve the right to provide alternative services of at least an equivalent standard at no additional costs to the student.
  7. All courses are described on our website prairiewillow.cfd.

Refunds and Cancellation Policy

 

  1. More than 30 days before departure, HOE LS retains 70% of the registration fees
  2. Between 30 and 21 days before departure, HOE LS retains 100% of the registration fees.
  3. Between 20 and 8 days before departure HOE LS retains 50% of the course fees
  4. Less than 8 days before departure, HOE LS retains 75% of the course fees
  5. By ‘course fees’ we mean the total quoted price.
  6. If a visa application is rejected and we are given written evidence at least 10 days before the start of the course, we will refund the fees received in full. With fewer than 10 days’ notice, we charge 20% of the total fees.
  7. No fees are refunded if a student cancels or curtails their course on or after the start date.
  8. If a student decides to cut short a course or change from a more expensive course to a cheaper one, there are no refunds.
  9. Refund on tuition is considered in cases of serious illness or bereavement in the immediate family only with documentary evidence.
  10. If the student changes the course structure / accommodation there is an administration fee of ￡25 per change.
